At Dokpa Expeditions, we understand that travel plans may change due to unforeseen circumstances. Our Cancellation Policy is designed to be fair to both our clients and our team who work hard to organize each expedition.
1. Cancellation by the Client
If you wish to cancel your booking, it must be communicated in writing by email and acknowledged by Dokpa Expeditions. The cancellation charges will apply as follows:
- 60 days or more before departure: 80% refund of the total trip cost
- 30 to 59 days before departure: 50% refund of the total trip cost
- 29 days or less before departure: no refund
Please note: No refund will be made if you voluntarily leave the trip after it has begun or if you fail to join the group on the scheduled departure date.
2. Cancellation by Dokpa Expeditions
Dokpa Expeditions reserves the right to cancel a trip due to unforeseen circumstances such as natural disasters, political instability, low participant numbers, or other events beyond our control.
In such situations, clients will be offered:
- A full refund of the amount paid, or
- The option to transfer the booking to a future trip or alternative itinerary of similar value.
Dokpa Expeditions will not be responsible for any additional expenses such as flight tickets, visa fees, or personal costs incurred due to cancellation.
3. Trip Alterations or Delays
If a trip needs to be modified after commencement due to weather, safety, or unforeseen conditions, refunds will not be issued for unused services. Any additional costs arising from such changes will be borne by the participant.
4. No-show Policy
Clients who fail to arrive on the scheduled departure date or time without prior notice will be considered a no-show, and no refund will be provided.
5. Refund Process
All eligible refunds will be processed through the same mode of payment used during the booking, within 7–14 business days of cancellation confirmation.
6. Travel Insurance
Dokpa Expeditions strongly advises all clients to obtain comprehensive travel insurance that covers cancellation, medical emergencies, and evacuation. This helps prevent financial loss in case of sudden cancellations or delays.
